How we judge (and how you can re-run it)

Scores on this page are computed by a small script that lives in this site's repo (tools/score.py), applying fixed weights to 0–10 inputs we assign from documented facts. We publish the weights so you can disagree with them precisely:

  • Free-tier depth — 25%. How much of the actual job you get at $0. This category has real free plans; we weight them accordingly.
  • Transcription limits — 20%. Caps on minutes, meeting length, imports. A note-taker that stops taking notes mid-meeting fails at its one job.
  • Notes features — 20%. Summaries, action items, AI chat over your meetings — as documented, not as demoed.
  • Capture flexibility — 15%. Bot and bot-free options, app coverage, uploads.
  • Price value — 10%. What the first paid tier costs and what it unlocks.
  • Privacy controls — 10%. On-device options, retention and training controls, per the vendor's own documentation.

What we deliberately don't score: accuracy percentages. Vendors quote them, review sites invent them, and none of it survives contact with a real conference room. Accuracy is dominated by your audio, which is why that gets its own page.

One honest caveat: Fireflies' free-plan storage cap comes from current third-party pricing guides; Fireflies' own pages confirm the tiers and prices but don't publish that number where we could verify it. Treat it as approximate.

Fathom's free plan reads like a pricing-page typo: unlimited recordings, unlimited transcriptions, real summaries, no trial clock. It's the tool we recommend to anyone whose main requirement is "stop making me take notes and don't charge me." The catch is that the free summaries are Fathom's stock format — the moment you want action items extracted your way or summaries shaped to a template, you're at $16/month. 3. Fireflies.ai — 7.3 — for teams that live in the CRM

Where it loses points

  • Free tier's storage ceiling means old meetings age out — unlimited transcription, limited memory
  • AI credits are rationed by tier; the assistant you're sold is metered in practice
  • Bot-centric capture: Fred joins your calls, and your guests will notice

Fireflies is the one to shortlist when the transcript is really a means to an end — logging calls against deals, pushing action items into task tools, letting a sales manager search a quarter of conversations. Individuals get less out of it: the storage cap on free and the credit-metered AI assistant mean the $0 experience thins out with use. 4. Otter.ai — 6.2 — the famous one, on the tightest meter

Where it earns the score

  • Mature live transcript you can watch and highlight during the meeting
  • Summaries, action items, and Otter's AI chat are genuinely good at Pro tier
  • Household name — the one tool your meeting guests may already recognize

Where it loses points

  • Free: 300 minutes a month, 30 minutes per conversation, 3 file imports — lifetime
  • Even Pro meters you: 1,200 minutes/month, 90 minutes per meeting
  • $16.99 monthly (vs $8.33 annual) is the steepest monthly-billing penalty here

Otter invented much of this category, and the live-transcript experience is still the smoothest way to watch a meeting turn into text. But the meters tell the story: a 30-minute conversation cap on free means your Monday standup fits and your Monday planning meeting doesn't, and Pro's 90-minute ceiling can clip a long workshop. The part nobody scores: your audio

Here's the uncomfortable bit every comparison table leaves out. All four tools run automatic speech recognition, and ASR degrades the same way for all of them: overlapping voices, distant microphones, echoing rooms, and background noise push errors up — and summaries inherit every error, because the summary is written from the transcript, not from the meeting. A note-taker can't minute what the microphone didn't deliver.

So before you switch tools over a bad transcript, check the input: a close microphone, one speaker at a time, and a noise-cancellation layer in front of the call. That last one is Krisp's home turf — it's why the same product tops this board. What's not on the board, and why

The category is crowded — tl;dv, MeetGeek, Grain, Notta and a dozen others ship real products. Our rule is simple: nothing gets scored until we've verified its current plans and limits against its own pages, and nothing gets a number we can't source. The board grows as the verification does; it never grows to make a page look thorough.

Fair questions

Do these scores mean Krisp transcribes more accurately than Otter?

No — and we refuse to publish that claim in either direction, because we haven't measured it and casual measurements are noise. Our scores weigh documented limits, features, pricing, and capture design. On accuracy, the honest statement is: all four degrade with bad audio, and only Krisp cleans audio before transcribing as part of the same product.

Is it legal to use these in every meeting?

Recording laws vary by state and country — some require everyone's consent, not just yours. That's a real constraint, not fine print. We keep a practical, plain-language guide in consent & etiquette; it is not legal advice, and for policy decisions you should talk to counsel.

Why is Otter ranked last when it's the most famous?

Fame isn't a rubric criterion. Otter's free tier meters minutes hardest (300/month, 30 per conversation), its imports are capped for life, and its monthly price is the least favorable against its annual rate. Its live transcript and AI chat score well — see the notes column — but the meters drag the total.

Do you make money when I click?
